Privacy Policy

ServiceTrack is a product of Principal Faculty Services ("we", "us"). This policy explains what we collect, how we use it, and the choices you have. We built ServiceTrack for faculty, and we treat your data as yours.

Who this policy covers

This policy applies to professors and other users who create a ServiceTrack account and use the application.

What we collect

We collect: (1) account information you provide at sign up, including your name, university email, academic rank, department, field, and promotion goal; (2) calendar event data that you explicitly authorize us to read from your connected Google Calendar, which is temporarily stored so it can be classified; and (3) service records that we generate from that calendar data and that you review and confirm.

What we do NOT store

We do not retain the details of calendar events that are identified as non-service or personal. When you run categorization, every event is classified, and events determined to be non-service or personal are permanently deleted immediately after classification. Their titles, descriptions, times and any other details are not kept. Those deleted events are shown to you once, in a review dialog, so you can add any of them to your service record at that moment. Once the dialog is closed the list is gone and cannot be recovered. We retain a non-identifying reference to each deleted event only so it is not re-imported on a later sync. Only events you keep are stored as service records.

How we access your Google Calendar

When you connect Google Calendar, you grant read-only access. We read event titles, descriptions, and start and end times from every event in the last 90 days so that categorization can classify them. We cannot and do not create, edit, delete, or post anything to your calendar. We request the minimum access needed to do this classification.

Event titles and descriptions are sent to Anthropic, an external AI provider, to classify which events represent academic service. Anthropic processes this data to return the classification and does not use it to train models. This happens during categorization only.

How we use your data

We use your data solely to provide ServiceTrack's features: categorizing your service, letting you review and confirm records, and generating documents such as promotion cases and annual reviews at your request. We do not sell your data. We do not use your data for advertising.

AI processing

To categorize events and generate documents, we send the relevant service data to a third-party AI provider (Anthropic) that processes it to produce categorizations and written drafts. This processing happens only when you initiate it.

Data isolation

Your data is protected by per-account access controls. Other users of ServiceTrack cannot access your records. Your account can only access your own data.

Your choices and control

You can edit or delete any service record at any time. You can disconnect your calendar. You can request deletion of your account and associated data by contacting us at support@principalfacultyservices.com.

Data retention

We retain your confirmed service records and account information for as long as your account is active, or as needed to provide the service, until you delete them or request account deletion.

Third parties

We use Supabase for authentication and database hosting, Google for calendar access you authorize, and Anthropic for AI processing. Each processes data only to provide their part of the service.
